AI phone assistant for trades businesses: subscription or setup?

What does an AI phone assistant cost?

According to my market research of 1 October 2026, the software comes with two pricing models, and agencies offer a third:

The prices are not consistently stated with or without VAT. The figures give you a rule of thumb: €119 divided by €0.35 comes to about 340 minutes. From roughly 340 call minutes per month, the subscription with 1,000 minutes works out cheaper than pay as you go. That is pure arithmetic, not a feature comparison.

Why not just sign up for the software?

You can, and for simple cases it is enough: few calls, clear rules, one calendar. The software provides the technology. The real work is setting it up for your business:

• Phone system: your existing number should keep working.
• Call handling: your trades, your service area, your emergency call-out rules, what counts as an emergency and what gets a call back.
• Scheduling logic: free slots, travel time between jobs, jobs that need two people.
• Calendar and job management software: appointments should land where you already work.
• Handover to people: when, and to whom, does the assistant pass a call on?

Which AI phone assistant is the best?

There is no single best provider for everyone. The choice depends on your call volume, your phone system and the calendar or job management software the assistant needs to talk to. A worked example shows why volume matters: 200 call minutes per month at €0.35 per minute come to €70; 340 minutes come to €119. If you stay below 340 minutes, a subscription with 1,000 minutes costs you more than you use.

When is a guided setup worth it?

A guided setup is worth it when several trades, an emergency call-out service or job management software are involved. Then the rules decide whether the assistant takes work off your hands or annoys your callers. To find out, look at your calls over the last few weeks: how many did you miss, and what did the callers want?

If I guide the setup, you pay the monthly software fees directly to the provider. I add no mark-up. My part is choosing the provider with an open price comparison, writing the rules for your business, and reviewing real calls after launch so that the wording gets better day by day.

How does a guided setup work?

1. I compare providers openly, with the per-minute calculation for your call volume.
2. We define your trades, service area, emergency rules and handover rules.
3. I connect your phone system, calendar and job management software.
4. After launch I review real calls for two weeks and refine the wording.
5. Your office team gets a walkthrough and a one-page cheat sheet.

Is there funding for the setup?

I do not promise any funding. Whether a setup without a software licence is eligible at all is an open question; the rules and their limits are covered (in German) in Digitalbonus Bayern für KI-Projekte. Check the current conditions with the programme provider before you commission anything.

What do you need to clarify on data protection?

An assistant processes conversations with your customers. Before launch, clarify which provider processes the data, where it is stored, and whether a data processing agreement is in place.
